SGIMS: Student Government Information Management System

SGIMS is a unique database-driven content and document management application for university student government associations. Handling member profiles, legislative records, meeting documents, and everything in between, SGIMS is a comprehensive solution. SGIMS streamlines the administrative overhead for publishing the organization's document workflow to the public and organizational membership.

SGIMS is available either licensed for installation at the school or as an inclusive hosted package. Both cases include options for tying SGIMS content into an existing website, and custom integration into your environment is also available.

For a real-world demonstration of the capabilities of SGIMS, you are invited to visit the NCSU SG installation of SGIMS. This installation features almost a decade worth of organizational information, including almost 1000 legislative acts, hundreds of member profiles, and countless meetings, report, and voting records.

SGIMS Modules

SGIMS includes a number of modules, many of which can be excluded or included according to your organization's needs.

Directory

SGIMS provides a directory of individuals serving in positions in the SG. In the public interface, this information is displayed in directory tables, photographic indices, officer listings, and individual profiles, as well as in other modules. The administrative interface allows creation and editing of user records and office records for the users. Users can edit their own directory and profile information on the internal interface.

Group Management

SGIMS maintains information on each group and sub-group in the student government. The public interface includes a boilerplate homepage with selected relevant information about the group and other SGIMS content related to it. The administrative interface allows creation and editing of groups, as well as population of their memberships.

Legislation

SGIMS provides a database of legislation. In the public interface a table of legislation and information pages on particular bills is provided, including sponsors, legislative history, and multiple versions. The internal interface allows submission of new bills by sponsors, loading and editing by administrators, and reporting and editing by committee officers.

Reports

SGIMS provides an index of reports from the various groups and officials. The public interface allows browsing and viewing these reports. The internal interface allows groups, officers, and individual members to file reports. These online reports are a perfect solution for increasing accountability.

Document Manager

SGIMS allows publication of documents by groups. These documents are available through the public interface. The internal interface provides for the upload and deletion by group administrators.

Meeting Documents

SGIMS stores information for each meeting, including roll calls, minutes, and agendas. These are published in the public interface. The internal interface allows groups to upload minutes and agendas and submit roll calls based on their membership directory.

Calendar

The SGIMS calendar contains both events and meetings. The public interface provides calendar-view and tabular listings, as well as detail pages on each. The internal interface allows creation and edit of the meetings/events by their controlling group. Meetings include general meetings that are not of a specific group but have an agenda and minutes. The internal interface allows inclusion of recurring office hours.

Volunteer Sign-up System

SGIMS allows sign-up of both affiliated and unaffiliated individuals to volunteer. Groups may create these and associate them with events via the internal interface.
