Meeting Document Packets
Most meetings of a student legislature include a packet of documents pertinent to the meeting. Agendas, past minutes to approve, reports to review, and legislation to consider are frequently distributed to members. However, once a meeting has begun, many members cannot take the time to read these documents.
Posting documents online in advance is an effective way to distribute them to your members, while providing adequate time for review. SGIMS allows easy posting of all of these important documents. However, just posting a document for members to find is a poor substitute for actively giving the document to a person to review.
To address this need, SGIMS includes the ability to create virtual document packets. These packets can include any document posted on SGIMS, as well as links to externally hosted files. Once created, members can be directed to a single url where they can review the entire collection of documents. When used for a meeting, the link to the packet is conveniently included on the calendar entry for the meeting.
As a bonus, administrators can track viewing statistics on the packet--so they know if members have actually viewed the documents.
